How to set up safety instructions on equipment
Lab instruments often come with safety requirements: PPE that must be worn, hazards to be aware of, or standard operating procedures that users must follow. Calira lets you attach safety instructions directly to equipment so this information is visible to anyone booking or viewing the instrument.
This supports downtime prevention by reducing the risk of damage from improper use, and helps labs meet health and safety compliance requirements.
What safety instructions can include
You can attach or configure the following within any piece of equipment:
- Safety notes: free-text instructions displayed on the equipment page (e.g. "Wear nitrile gloves and safety goggles. Do not leave unattended during operation.")
- Documents: upload SOPs, risk assessments, COSHH forms, or manufacturer safety data sheets as attachments
- Training requirements: limit access and hide equipment for untrained users
These three mechanisms can be used independently or together, depending on the level of safety control your lab needs.
Adding safety notes to equipment
- Go to Equipment and open the details page for the instrument
- Scroll to the Lab & safety rules section
- Enter your safety instructions in the text field, keep them clear and scannable
- Save
Safety notes are visible to all users who can view the equipment. They appear on the equipment details page and (depending on your configuration) may also appear in the booking confirmation.
Attaching safety documents
- On the same equipment details page, go to the Document upload section
- Click Upload document
- Select your file (PDF is recommended for SOPs and risk assessments)
- Add a descriptive title
- Save
Requiring training before booking
For high-risk or complex instruments, you can enforce that users complete training before they are allowed to book:
- On the equipment details page, click the Training tab
- Select a user and either enable or disable the Training toggle
- You can select multiple users at the same time to toggle their training status on or off
Users who have not been marked as trained cannot create bookings on this equipment.
